- No Commas or Periods, Period!
- Do not use commas or periods when entering data into MUNIS, especially in Employee Master File and Vendor Master File. In MUNIS Office, commas and periods create a separate field in an EXCEL export. This throws off all the columns for the record containing the punctuation.

Exit the MUNIS Application Daily
- To exit MUNIS, use the X in the upper right corner.
- ALWAYS log off the system at the end of the day. Much of our administrative work on the system is done during off hours. Users who leave themselves logged onto the system may lock records and preclude some administrative tasks from being accomplished.
Please do not leave yourself logged onto MUNIS overnight.
MUNIS Office
On the toolbar at the top of the screen, you will find Word and Paperclip icons. DO NOT USE THESE FUNCTIONS because of issues involving degradation of the system's performance, utilization of server disk space, and accessibility of information.
The toolbar also contains an Excel icon. On screens where the icon is green in color, the data can be exported to an Excel spreadsheet. This download functionality is a very useful tool, permitting you to pull many fields of data into Excel where it can be sorted, formatted and customized to suit your needs. No training is needed to utilize the Excel export feature.
MUNIS Tip
The 'Number of Copies' selection on the Output (print) pop-up box does not work under most circumstances. If you change the number of copies to anything other than '1' on print jobs, you will get nothing. The exception is the Pay-In Receipt where '3' is accepted.
Warning! Warning! Don't be too Adventurous!
As we install new releases and upgrades, you may notice new buttons and functions appear. We read through the release notes and review new functions, reports and features before loading them into the live system. We will notify users of changes that impact processing or that users may find beneficial. Please don't experiment in the live database yourself. The results may not be what you had expected.
What is the Data Center's role with MUNIS®?
The Data Center is responsible for equipment set-up, software installation and connection to the network. Problems with printers, network connections, access to MUNIS® or with MUNIS® itself should be reported to the Data Center's Help Desk - 525-3282.
System Down-Time
Some tasks require taking the system off-line (e.g., month-end close and system maintenance, when no other users can be processing). The time of day is chosen so that the downtime has minimal impace on your work. A message informing you of the impending shutdown is broadcast in advance on the Message of the Day pop-up box. Because of variables in these processes, the actual downtime may be longer or shorter than our estimate.
Month-End Close
At the end of each month, we manually adjust the period for every Accounts Payable invoice that has been keyed but not yet cash-disbursed. To facilitate this process, MUNIS® will be unavailable for general use after 3:30 p.m. on the last business day of each month. Please keep this in mind when planning your work. The pop-up box will carry a reminder message a couple of days in advance.
Holidays, Evenings, and Weekends
Because MUNIS® is available through your PC 7 days a week, you have a lot of flexibility in scheduling your work on the system. However, the Data Center's help desk is not available to answer questions or resolve problems outside of normal working hours. If you have a special need to use the system outside of the regular work day and want to have someone on-call to provide support should you need it, please submit a written request at least ten days in advance.
